MAKING MEMORIES TOUR DIRECTORS
A professional tour director will accompany the group for the entire itinerary on all motor coach tours. For air and/or rail tours, a Making Memories representative will be on the tour as long as the size of the group warrants his/her presence. If this is the case, a professional tour director from the supplier of the tour will be available to assist with your needs and to direct the itinerary. Before the tour ever departs, you will have your seasoned tour director’s name and cell phone number.
ABOUT EACH TOUR
We carefully plan a custom itinerary of every tour for your enjoyment. We travel on scenic routes and interstate highways for the best possible tour. We take a break every two to three hours. We make sure your reservations are scheduled and confirmed months in advance. Luggage tags, departure information including pick up times and locations, all hotel contact information and your tour director contact information will be mailed to you 7-10 days prior to tour departure.
PRE AND POST ACCOMODATIONS
To better serve our customers who live 70 miles away or more from your closest pick up point, we offer a pre-night and/or a post-night hotel room at $80.00 per night to you. Payment and reservations for these rooms are arranged by Making Memories Tours 45-days prior to tour launch, so call us before then and we can visit about the best option for you.
HOW DO I BOOK A TOUR?
• To ensure your complete reservation, we require a deposit or full payment for the specified tour(s). Most domestic, motor coach only, tours require a $100.00 per person deposit. Final payment is usually due 60-days prior to departure. Refunds can typically be given at 60-days prior to departure unless stated differently on invoice. Your invoice will include all the pertinent action dates. You must cancel with MMT in writing along with a phone call.
• Tours including airfare, overseas riverboat cruises, or ocean liner cruises require a $250.00 per person deposit. Final payment is usually due 120 to 75 days prior to departure. After final payment, full refunds are not possible. Your invoice will include all the pertinent action dates. You must cancel with MMT in writing along with a phone call.
• NOTE: If you choose to utilize trip insurance with our partner company and have pre-existing health conditions you wish to be covered, you must take out trip insurance within 14-days of paying your tour deposit.
TO FLY ON AN AIRPLANE
Tours featuring this symbol will involve a flight. Each traveler must present a REAL ID compliant driver’s license or state-issued enhanced driver’s license, and for international travel a valid passport is required. Please note for all domestic flights, luggage fees are not figured into the cost of the tour and will be an additional cost payable direct to the airline upon your ticketing process for boarding. International flights accommodate luggage fees, providing you abide by size and weight limits, you will be responsible for any overages. Because air travel schedules can be altered without given notice to us, additional fees charged by airlines, regardless of reason, will be your responsibility. Travel insurance policies make provisions to cover these additional fees. Bottom line: we recommend travel insurance for any tour with airfare.
WHAT YOU CAN EXPECT
• After you make your deposit, we will generate an invoice and mail or email it to you.
• We will mail a small packet of tour information to you which will include your luggage tag, departure information including pick up times and locations, medical forms, hotel address and phone number along with your tour director contact information all of which you may leave with your family. You will receive this 7-10 days prior to your tour departure.
• A staffed tour office with a kind voice is ready to answer any questions.
GENERAL INFORMATION
• REAL ID compliant state issued identification is required by multiple venues which we visit on any given tour. It is your responsibility to ensure you have a proper REAL ID.
• Travel outside of the United States requires a valid passport, most airlines will not issue an international ticket to passports expiring within six months. Any traveler with a prior felony should inquire with Making Memories Tours management regarding any special permissions and/or documentations required for international travel.
• We have a no smoking and no alcohol policy on our motor coach. All hotels/ motels are non-smoking accommodations. Our tours do provide frequent stops allowing those who wish to smoke the time to do so, providing the most enjoyable tour for all participants.
• Any extra miscellaneous items utilized at hotels such as valet, telephone, pay per view movies, room service, etc are not covered by Making Memories Tours and are your sole responsibility.
• On trips of four or more days, we have our passengers rotate seats daily. This allows everyone the opportunity to interact with more people and have different views of the scenery. The back of the motor coach is reserved for those who do not wish to rotate seats. Passengers who pay single rates are not guaranteed a single seat on the coach.
• Making Memories Tours cannot assume liability for loss, damage, or breakage
of luggage or personal property.
• Due to the volatility of fuel prices, Making Memories Tours reserves the option to add a fuel charge to the price of the trip should fuel prices increase in the time following the announcement of trip pricing.
• Making Memories Tours, in conjunction with similar companies, acts only as an agent for tour passengers concerning sponsorships and arrangements of miscellaneous accommodations presented. In connection with all services of any motor coach, vehicle, excursion, accommodations, sightseeing, hotel arrangements, or restaurants, no liability, or responsibility is assumed by Making Memories Tours with any of the previously mentioned. It is our reserved right at our discretion for any itinerary changes to be made in regard to tour arrangements. Making Memories Tours, 128 N. Old Wire Rd., Washburn, MO 65772 is owned and operated by Jerry and Angie Varner (DBA) Making Memories Tours, is the facilitator of this tour program. It is assumed by booking a tour trip and by purchasing one of Making Memories Tours trips that any of our passengers/clients assign and agree that Making Memories Tours is the sole agent in all the transportation arrangements.
TRIP INSURANCE
We strongly encourage you to consider trip insurance to help with financial coverage in the unlikely event of unforeseen complications. We work with an industry leader in travel insurance to bring reasonable rates based upon the price of the tour. If you choose to utilize trip insurance with our partner company and have pre-existing health conditions you wish to be covered for, you must take out trip insurance within 14-days of paying your tour deposit.
